Are you an experienced self-starting Assistant who works pro-actively and likes to take matters into her/his own hands? For this NGO we are seeking an Executive Assistant with relevant international experience on C-level as you will be supporting the CEO on a high level.

The Executive Assistant supports and assist the Executive Board in managing the organisation regarding all administrative, logistical, operational and financial matters, according to the requirements and procedures of this NGO. The assistant organizes and oversees meetings, keeping and implementing the Board’s agenda and planning. He/She/They coordinates, aligns and follows up on planning and action points, resulting from bodies such as Executive Board, Management Team, Works Council, Supervisory Council and Audit & Risk Committee. He/She/They prepares all meetings of the COO (with EB, MT, Direct Reports) by ensuring timely availability of documents and monitoring progress on action items. The assistant delivers both requested and non-requested support to the Executive Board in order for them to be able to perform their duties as EB. The assistant will be asked to participate and engage in quality improvement projects and activities. The assistant acts often as intermediary (physically and digitally) between the Executive Board and external parties and internal colleagues. In that capacity they will have access to and be implied in frequent confidential matters too. Therefore, the assistant needs to have a keen eye for confidentiality on the one hand and a personal touch and ear on the other hand, to assure accessibility of others to the Executive Board members. Functional context The Executive Assistant operates as a spider in the web for all organizational issues concerning the Executive Board. He/She/They keeps keeps track of priorities and outstanding action points and flags conflicting priorities if applicable. He/She/They works in very close liaison with the other Executive Assistant and ensures good communications between the EB and the COO’s direct reports (Head of Finance & IT; Regional Directors, MT members). He/She/They is the first “to go to person” if COO or EB is needed for decision or coordination.
Accuracy is very important in this position. Next to that, you are a true self-starter and are able to work independently and like to show initiative. You are flexible and have a natural know-how of setting priorities and multitasking. You have relevant senior secondary vocational level of working and thinking.
